We had to make the difficult but necessary decision to cancel our 2020 Asheville Marathon and Half Event. We are following recommendations by the US Centers for Disease Control and Prevention that no gatherings with 50 people or more take place for the next eight weeks to slow the spread of the novel coronavirus. We are suspending registration for all other iDaph Event-owned sport events as well. 

Please remember that everyone is in a tough position right now due to the coronavirus, and to respect the no-refund policy. We are working hard towards ensuring the financial survival of this event so that we can have it again next year. At this time, it is unclear whether we will be able to put this event on again, so we do not want to promise a deferral. Cancelling this event was a big financial hit for our small business and our staff – we ask that you please be patient as we sort out the details regarding finisher medals, shuttle tickets, etc. Thank you! 

Let us try to find ways to come together and support one another (and support small businesses of all kinds when possible and safe to do so) during these times.

Asheville Marathon Response to Coronavirus Outbreak

We are beginning to ship out the runner packages for the people who ran the Virtual Run or requested the packages. You can expect the packages to arrive within one to four weeks. The deadline to request a change to update your mailing address in RunSignUp and to request to have the runner swag packages mailed was Sunday, March 22, 2020 at midnight.

Due to the latest stay-at-home order, our iDaph Team is not able to return to the iDaph Office in the next couple of weeks. Buncombe County has issued a Stay Home, Stay Safe Supplemental Declaration to the local State of Emergency that went into effect Thursday, March 26, 2020 at 8 p.m. The intent of this supplemental declaration is to further minimize all opportunities for exposure and transmission of COVID-19 across the jurisdiction.

Since iDaph is considered a ‘non-essential’ business, we cannot work at our warehouse until the restriction is lifted. This means the shipping of race swag and medals will be delayed. This declaration is valid through Thursday, April 9, 2020, at 6 a.m., but will be regularly reviewed and evaluated which may lead to revision, amendment or extension.

Virtual Run Update

We had 415 runners sign up to our Asheville Marathon and Half Virtual Run last week, and we are so heartened by the inspiring posts, achievements and photos from cities all over the U.S. If you have not already, please message us through Facebook or post your photos and stories to our Asheville Marathon Facebook page so we can continue to support and inspire our running community. Great job runners we are so proud of you!

If you haven’t run your virtual marathon and half yet, feel free to post it on Strava anytime! There is no deadline and we have no shortage of virtual high-fives.

Update on Shipping Medals and Swag

Shipping supplies are ordered and on their way. Since our warehouse is not set up to ship thousands of packages, we had to do some preparing: Purchase software, a scale, shipping labels, packaging, etc. Once we have everything set up we will update this blog and send out notifications. We are taking extreme safety measures and only having one person at a time enter our warehouse to set up shipping and pick-up.

Biltmore Pass (runner’s ticket), Shuttle Ticket and Spectator Refund Checks

Biltmore runner tickets, shuttle tickets and spectator refund checks are being processed. There are thousands of them so please be patient as they will take a while to be manually entered into our system.

Finisher Medal Update

The race medals are here! They have finally arrived at our warehouse. We are letting the boxes decompress from their long journey and then we will ship them out to our runners who complete the VIRTUAL RUN, along with the swag bag.

We regret the uncertainty and inconvenience that has surrounded our race week and appreciate your understanding as we have worked on the best course of action within rapidly changing circumstances.

Refunds regarding Biltmore runner tickets, shuttle tickets and spectator passes

All paid registrants for the Asheville Marathon & Half will be refunded the portion of their registration fee that covered Biltmore runner tickets. Therefore, no participant will be eligible to receive a runner ticket to visit Biltmore.

· Participants with one-day registration will be refunded $23 plus tax.

· Participants with two-day registration will be refunded $33 plus tax.

· Participants who purchased spectator tickets for $30 through their race registration will be refunded according to the number of tickets purchased.

For any runners whose race registration was purchased by a charity or group, Biltmore runner ticket refunds will be issued directly to the charity or group.

Also, we will be able to recoup the money from Shuttle Tickets. Participants who purchased shuttle tickets will be refunded according to the number of tickets purchased.

No credit card processing fees will be refunded.

No action by paid registrants is required.

Refunds will come from iDaph Events and will be sent out via check to the mailing address on file with RunSignup. All participants eligible for a refund check will receive one check with the total refund that will include Biltmore passes and shuttle tickets. If you need to change this mailing address, please go to your RunSignup profile by Sunday, March 22, 2020 at MIDNIGHT EST. Please allow 2-4 weeks for the checks to process.

For race participants who booked lodging at Biltmore during the race, all cancellation fees are waived and lodging deposits will be refunded. To cancel or reschedule your hotel reservation, please call Biltmore at 866-336-1245.

Biltmore was selected as the location for our private event. As the venue, Biltmore is unable to provide specific information regarding Asheville Marathon & Half, process refunds or handle questions (with the exception of changes to Biltmore lodging reservations). Please direct questions to us at support@idaph.net. Again, no action is required for your paid Biltmore runner ticket, spectator ticket or shuttle ticket refund to process.

Deferrals

At this point, we are not certain the Asheville Marathon and Half will recover from this force majeure event cancellation, nor do we know if we will be able to produce this race next year. We don’t want to promise something we can’t guarantee or deliver. Believe it or not, we are a very small events company, run by three full-time staff and the effects of this unexpected cancellation are enormous for us. We can assure you that we are losing a substantial amount of revenue by not being able to hold this event next weekend. The combination of that lost revenue and the expenses that have already been incurred on planning and producing the event, supplies, equipment, bibs, awards, medals, shirts, ads, marketing, permitting, merchandise and now shipment of participants goodies….it’s a long list. It is such a catastrophic situation that we are not quite sure we will recover from this.

Insurance

We are receiving a lot of questions about our insurance policies and if we have insurance to help cover refunds and event expenses. We have two policies: One through USATF and the other through a private insurance company. Both unfortunately exclude pandemic coverage.

Many of you have been asking about finisher medals. At this time we have not received our shipment that was due to come into us already from China. We will keep everyone posted on their arrival status.

Biltmore Estate Hotels: Inn on Biltmore Estate and Village Hotel Updates

Arrivals Now through March 31st

· Lodging will waive all cancellations fees and we will refund all deposits when a guest calls and is arriving during this time frame.

Arrivals April 1 – April 30

· Lodging will waive cancellation fees if the guests are outside of their cancellation windows, either 7 or 14 days depending upon rate booked.

· If the guest cancels inside the cancellation window we will offer an online credit.

· Guests may call within the next 6 months to reschedule for a date in the future.

Arrivals after May 1 – we will continue to maintain our standard cancellation policies.

Hotel Updates

Information from the Inn on Biltmore Estate and Village Hotel

For cancellations, no refunds are being given, but anyone who wished to cancel their room will be given an on-line credit and they will have 6-months to re-book for a future date. They should call the group sales office.

Information from Biltmore Farms Hotels: Residence Inn, Doubletree, Hampton Inn, Hilton

Cancellations will not incur a no-show fee if canceled 48 hours prior to the 3pm check-in date. After this deadline, there would be a no-show fee charged, consisting of one night’s room and tax.

The Asheville Marathon and Half is in no way associated with fees collected by hotel partners.

Biltmore Passes for Runners (Runner’s Tickets)

Biltmore Tickets are typically only valid for the race date on the ticket, however, Biltmore will extend the date for race ticket usage until October 31, 2020. Your race ticket is good for entry to the grounds of the estate. To upgrade your race ticket to a House visit or an annual pass you will need to stop by one of the Guest Service Stations on the estate by October 31, 2020.

If you are planning to visit the estate March 20th thru March 31, 2020: Please email support@idaph.net and your contact info will be given to the estate so you can pick up you runner Biltmore ticket at the Group Sales office at the Estate. Otherwise, if you opt in to have runner swag mailed to you, the Biltmore ticket will be mailed in that same package, which we expect to happen in early April or whenever it is deemed safe for the team to put these packages together.

It takes a lot of time, effort, and attention to detail to assemble all the parts that combine to make this a first-class event, so does it take that same time, effort, and attention to detail to disassemble it so that everything is fully accounted for. Just as training for a marathon takes a solid plan and patience to execute, so does dealing with the myriad steps involved with sorting things out when an event of this scale is canceled. UPDATE: MARCH 13TH, 2020 at 1PM

It is with heavy hearts that we have made the difficult decision to cancel the Asheville Marathon and Half at Biltmore Estate due to concerns over the spread of COVID-19 (coronavirus).

On Thursday, March 12th at 5pm EST, the City of Asheville, Buncombe County and the State of North Carolina declared a State of Emergency (click here for official proclamation). Due to this state of emergency it is prohibited for any organized group of 100+ persons to assemble. We know this is a challenging time for everyone, and the cancellation of the Asheville Marathon is disappointing news to many, but we have no other option at this point but to cancel the event. Unfortunately, it would be impossible for us to postpone this event to a future date this year.

We are runners ourselves and we understand the commitment, sacrifices and incredible journeys you all have been through over the past four to six months to prepare yourselves for the Asheville Marathon, which has made this cancellation decision extremely difficult for all of us. Over the past several weeks the entire Asheville Marathon team worked hard to adjust plans, implementing modifications and accommodations to alleviate crowding and facilitate social distancing. We tried to implement alternative arrangements such as organizing an outdoor “drive-through” Expo, considering asking volunteers not to attend, and setting up a “self-service” race course.

Unfortunately, it has become clear that we will be unable to proceed in the manner that our runners have come to expect at our events, where the safety and security of our runners, volunteers, staff, partners, and spectators are our main concern.

Virtual Run Option

We encourage participants to join our Virtual Run on race weekend and put your miles in at home. What is a virtual run? It is a run (or walk) from any location you choose. You can run, jog, or walk on the road, on the trail, on the treadmill, at the gym, or on the track. We encourage our runners to post your run on Strava, share your photos with us and use hashtag #virtualrunavl2020.

Race Swag

If you would like your runner swag (shirt, goody bag, bib) mailed to you, please go to the registration site where you will be prompted to make that selection. We will ship these items out as soon as it is safe for our team to assemble these and ship them to you. We expect this to be in early April.

Regarding Refunds

The Asheville Marathon and Half at Biltmore Estate has a “no-refund” policy. The event staff work year-round to make this event not only happen but also work to provide a memorable experience by purchasing unique race swag, medals and merchandise. There are many expenses with the production of an event including marketing, ads, printing, permits, equipment, rentals and the list goes on. All of these expenses have already been incurred.

Spectator Tickets

We are offering refunds for Spectator Tickets. We are working with our registration provider at this time to work out the details on how best to handle this process.

Our race director is also receiving lymphoma treatments and has been fundraising with our charity partner, the Leukemia & Lymphoma Society, in an effort to help raise funds for cancer research. Cancelling this event was a very tough decision, especially because this year’s event held an even deeper meaning.

UPDATED MARCH 11, 2020: We are monitoring the global and local impact of the COVID-19 (coronavirus) and are following the guidance of local and state authorities including the CDC. Our top priority is always the health and safety of our runners, volunteers, staff and spectators.

There have been no scheduling changes to any of our Asheville Marathon weekend of events. We encourage runners to respect each other by following appropriate health guidelines and ensuring they are well enough to participate. We will provide ongoing updates as necessary.

Things to Remember:

To prevent the spread of infectious illness:

  • Wash your hands often with soap and water for at least 20 seconds. If soap and water are not available, use an alochol-based hand sanitizer with at least 60% alcohol.
  • Avoid touching your eyes, nose and mouth with unwashed hands.
  • Avoid close contact with people who are sick.
  • Stay home when you are sick.
  • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect frequently touched objects and surfaces.

We’re taking these additional precautions:

  • Increased hand sanitizer and hand washing stations at the race expo, start line, along the route and finish festival.
  • Volunteers and Race Staff to wear gloves when in contact with participants.
  • Our food service staff and volunteers will implement safe food handling procedures.
  • Encouraging participants to follow public safety measures, including washing their hands, using hand sanitizer and staying home if they feel ill.
